Gymnastics of York Shrewsbury, Inc, doing business as Shrewsbury Gymnastics ("we", "us"), operates shrewsburygymnastics.com, our class-management tools, and our phone line. This policy explains what personal information we collect from the families we serve, how we use it, and the choices you have.

Information we collect

• Contact and enrollment details you give us when you sign up for a trial, enroll a child, book a birthday party or private lesson, or contact the office: names, email address, phone numbers, mailing address, your child's name and date of birth, and emergency and medical information you choose to provide.
• Account and payment records such as class enrollments, attendance, invoices and payment history. Card payments are processed by our payment processor; we do not store full card numbers.
• Phone calls. Calls to our office line may be answered by an automated receptionist and may be recorded and transcribed for quality and training. You are told at the start of the call when it is being recorded. The receptionist can look up your family's account only by the phone number you are calling from.
• Website usage such as pages visited and the device and browser used, collected through standard server logs.

How we use it

• To run our classes and programs: scheduling, enrollment, attendance, make-ups, billing and receipts.
• To communicate with you about your child's classes, closures, schedule changes, invoices and account matters, by email or phone.
• To keep our families and staff safe and to meet our legal and insurance obligations.

Who we share information with

We share personal information only with service providers who help us operate, and only for that purpose: our class-management and billing system, our payment processor, our email delivery provider, and the provider of our automated phone receptionist. These providers may use the information only to provide their services to us. We may also disclose information when required by law, to protect the safety of a child, our families or our staff, or in connection with a sale or reorganization of the business. We never sell personal information.

Children

Our programs are for children, but our website, enrollment and messaging are directed to parents and guardians. We collect children's information only from a parent or guardian and only as needed to provide our programs.

Your choices

• You may review or update your family's contact details in the Parent Portal or by contacting the office.
• You may ask us to delete information we no longer need to provide services or keep for legal, safety or accounting reasons.

Security and retention

We protect personal information with access controls, encrypted connections and reputable service providers. We keep enrollment and financial records for as long as needed to serve you and to meet legal and accounting requirements. Call recordings and transcripts are kept only as long as needed for quality review.
